Overview #
Workflo’s notification system ensures that you are always informed about the updates that matter to you — without being overwhelmed by activity that does not require your attention. Notifications are targeted, contextual, and tied directly to your involvement in the work.
What Triggers a Notification? #
You will receive a notification in Workflo when any of the following occurs:
| Notification Type | When It Is Triggered |

| Task Notification | You are assigned to a task, or a task you are assigned to is updated |
| Task Completed | A task you are associated with is marked as complete |
| Task Reopened | A completed task you are associated with is reopened |
| Comment Notification | Someone leaves a comment on a task you are involved with, or @mentions you in a comment |
| Chat Notification | You receive a direct message or a message in a group or project chat you are part of |
| Chat Reply Notification | Someone replies to a message in a conversation you are participating in |
| Invite Notification | You have been invited to join a workspace, team, or project |
| Workspace Joined | A new member joins a workspace you are part of (relevant for admins) |
| Project Joined | A new member joins a project you are part of |
| @Mentions | Someone specifically @mentions you in a comment or chat message |
Viewing Notifications #
All notifications are accessible from the Notifications panel within Workflo. The panel displays a list of your recent notifications, showing the context — which task, project, or conversation triggered it.
Notifications are marked as viewed once you open them. You can also clear notifications to keep your panel organized.
@Mentions #
When someone includes your name using an @mention in a comment or chat message, you receive a notification regardless of whether you are actively watching the task or participating in the conversation. This is the most direct way for colleagues to draw your attention to something specific.
Staying Informed Without Being Assigned #
If you need visibility into a task but are not formally assigned to it, you can watch the task. As a watcher, you receive notifications about updates to that task — including comments, status changes, and completion — without being listed as a responsible party.
This is particularly useful for:
- Managers who need awareness of a task’s progress
- Quality reviewers who monitor completion before sign-off
- Senior staff who need situational awareness across multiple work streams
Managing Your Notifications #
Workflo is designed to surface relevant notifications without overwhelming you. If you find that you are receiving too many notifications, consider:
- Removing yourself as a watcher from tasks where you no longer need visibility
- Ensuring your team uses @mentions deliberately rather than routinely
- Clearing old notifications regularly to keep the panel focused on what is current
Best Practices #
- Use @mentions when you need a response. If a comment or message requires action from a specific person, @mention them. This ensures they are notified directly.
- Use task watching for supervisory visibility. Managers and team leads should watch tasks they are overseeing but not directly working on.
- Clear notifications regularly. A clean notification panel makes it easier to spot new, actionable items. Archive or clear notifications once you have addressed them.
- Avoid unnecessary @mentions. Mentioning people who do not need to act on a message contributes to notification noise and can reduce the signal value of mentions over time.
